A rare opportunity has opened for a full-time managers assistant to join the team at Top Shelf Productions. The successful applicant will immediately start assisting on the tours, releases and promotion of some of the most iconic and genre defining artists of our times.

The role will see you working in a relaxed but exacting environment in our Newtown office. You’ll be working across many areas of project management including touring, recording projects and releases, book launches, merchandising, collaborations and hybrid art projects. You’ll be a key part of our organisation working on the administration and production of multiple projects constantly.

We’re looking for a highly organised, detail oriented individual who has a passion for music, words and art. The successful applicant will be excited by and adept at using technology to provide a concise and easily customised workflow.

    • Keeping track of multiple project deadlines whilst analysing the progress to ensure that deadlines are met

    • Managing calendars and schedules for multiple artists, ensuring that all parties are kept up to date with events, information and changes

    • Advancing show details with venues and festivals, creating worksheets and day schedules

    • Liaising with media, publicists and artists to produce promotional schedules

    • Creating itineraries and booking flights/cars/hotels

    • Budget management

    • Guest list management

    • Managing and updating all promotional assets for artists and projects

    • Maintaining Dropbox & Google Drive Filing Systems

    • Preparing tours and projects for announce, pre-sale and on-sale, clearly communicating and passing on all assets and deadlines to the relevant parties

    • Pre-sale ticket reporting

    • Updating social media accounts & websites

    • Database management and email marketing strategies

    • Grant writing and acquittals

    • Merchandise management

    • Contract & invoice generation and follow ups

  • ESSENTIAL:

    • Microsoft Office Suite with a solid degree of proficiency with Excel

    • Dropbox

    • Google Workspace (especially Google Calendar & Sheets)

    • Social media platforms


    Desired:

    • Design Software

    • Xero

    • Ticketing systems

    • Slack

    • YouTube/SoundCloud/Bandcamp

    • Shopify

    • Square

    • Proven experience in touring (booking and advancing) and/or music release campaigns

    • A sound knowledge of Australia’s music scene

    • A knowledge of live concert production

    • A broad appreciation of diverse music genres including world/roots/jazz

    • A strong knowledge and understanding of the music industry

    • The ability to multi-task and prioritise efficiently

    • Impeccable attention to detail and the ability to work under pressure and to tight deadlines

    • A strong talent with the written word and top-level communication skills

    • An ability to work autonomously, while providing regular reports and feedback

    • A strong sense of integrity towards the artists they work with and innate honesty within the workplace
